Accessing Your Documents – A Step-by-Step Guide

Step 1: Verifying Your Identity

Before we can grant access to your safeguarded documents, we need to ensure your identity is confirmed. Rest assured, it’s for your protection. 

Step 2: Requesting Access

Once your identity is verified, it’s time to request access. You simply let us know what you need, and we’ll prepare it for you. 

Step 3: Document Retrieval

Now, it’s our turn to work behind the scenes. Our dedicated team will retrieve your requested documents from our secure storage. 

Step 4: What happens next?

  • Once you download and complete the document release form, please print, and sign the form and email executed form to us.
  • We will assess your request within 48 hours. 
  • Once assessed, if we have further requirements, we will contact you. 
  • Once all requirements are met, we will deliver the documents as per mode of collection.

Notes

1. Release requirements and identification

To ensure the security and confidentiality of safe custody documents, there are certain requirements that must be satisfied before we can release any documents. This includes us being satisfied as to the identity of the person requesting the documents, by the provision of certified copies of identification. 

Acceptable identification documents includes: 

  • Driver’s Licence; 
  • Birth Certificate & Photo ID; 
  • Passport; 
  • Marriage Certificate (if name has changed). 

A ‘certified copy’ means a photocopy of your identification certified by a lawyer, medical practitioner, pharmacist, JP, accountant, or police officer. If you are collecting in person, you can bring your original photo identification to us at one of our office locations and we will certify it for you. Alternatively, you can email your certified identification to us. 

2. Collecting documents on behalf of the owner 

We ask that requests for release of safe custody documents be made by the person whose documents they are. Where this is not possible (for instance, due to incapacity) there are additional requirements, as detailed in the release form. 

3. Acceptable file types

When you have completed the form, please send through as a pdf, jpg or word document.. 

In addition to any documents prepared by HHG Legal Group, all documents previously held by Wheatleys’, Kroon Legal’s and Kott Gunning’s safe custody are now safely stored within HHG Legal Groups safe custody network. If you are looking to confirm the location of your documents or collect them, please complete the form below and we will respond to your enquiry within 48 hours.
